Somebody Cares UK retains data from both the Warehouse (Somebody Cares SCIO) and the Megastore (Somebody Cares Trading). Your information will not be passed or sold to any third party, and will be held exclusively by Somebody Cares. We do not currently use your data for marketing or sponsorship purposes. When this situation changes then we will only do so with your express consent beforehand.

Electronic records are kept in 3 main formats :

  • Website – Created using Adobe / Business Catalyst
  • TengoCRM – Stores information on Donations and Gift Aid
  • Xero – Used for Financial Data – all contacts are Customers or Suppliers

However, there are instances where we must have your personal information in order for us to grant you an access to our protected and secured sites. This information may include registration data (your name, address, email address, phone number, title, etc.), information request data and response data ("User Information").

Paper Records are kept in the following formats :

  • Client Details – when donations are delivered to the homes of our beneficiaries.
  • Donor Details – when items are collected from the homes of benefactors. This also includes signed Gift Aid sheets
  • Customer Details – when items of furniture are delivered to customers who have requested it.
  • Volunteer Details – Application Forms
  • Employee Details – Application Forms


Paper records will contain details such as Name, Address, Phone Number, Email Address, and also details of items donated by Somebody Cares, donated by our generous donors, or bought by customers.


Paper records are stored in locked filing cabinets in the Warehouse and Megastore offices. Only office staff will have access to this.

Paper records will be held for as long as the Client / Donor / Customer / Volunteer / Employee has an association with Somebody Cares, or until there is a request by the person to remove it.
